Location: Office based - Hung Hom, Hong Kong

Purpose of the role:

The Global Order Fulfilment Officer will be responsible for coordinating and monitoring the fulfilment of customer orders across our Far East supply base, acting as a key link between our Hong Kong-based suppliers and the UK team.

The role will ensure orders are accurately processed, production and shipping deadlines are monitored, and the UK team receives timely and accurate updates throughout the order lifecycle. The successful candidate will be highly organised, proactive and comfortable managing multiple orders and priorities in a fast paced international environment

Scope & Relationships:

• Work closely with both UK & FE Purchasing, Supply Chain, Logistics, S&OP, Buying, Sales and Finance teams to ensure orders progress effectively
• Maintain strong working relationships with Far East factories and suppliers, proactively managing queries, risks, delays and escalations
• Provide the UK team with accurate visibility of order status, production timelines, shipping information, risks and key performance measures
• Support data analysis, KPI reporting and continuous improvement across the global order fulfilment process

Key Responsibilities:

• Manage the global order book, ensuring orders are accurately monitored and progressed from order placement through production, fulfilment and shipment
• Proactively review open orders and opportunities to develop a clear understanding of project requirements, production status, key milestones and expected fulfilment timelines
• Work closely with the Purchasing, Supply Chain and Logistics teams and Far East factory network to actively manage each order through the agreed fulfilment process and ensure all required criteria are met
• Monitor each order against agreed fulfilment deadlines and quality requirements, ensuring relevant information and evidence is accurately recorded within the global ERP system, SAP
• Where required criteria or deadlines are not met, proactively manage escalations with factories, suppliers and internal stakeholders to achieve the required outcome
• Ensure appropriate documentation and supporting evidence is captured and archived to provide a clear audit trail for decisions and actions taken
• Work closely with the Sales & Operations Planning (S&OP) team to review both short- and long-term forecasts and understand future demand
• Validate forecast information against actual order flows and activity across the supply and factory network, highlighting any significant variances or potential risks
• Maintain accurate and up to date SAP records and databases, ensuring all information relating to order fulfilment is complete and reliable
• Support the development, implementation and maintenance of processes, procedures and quality system documentation relating to global order fulfilment
• Use Excel, BI360 and other analytical tools to support daily, weekly and monthly reviews of order, supply and business performance data
• Prepare and publish monthly Global Order Fulfilment KPIs, including performance reporting across both FOB and DDP supply
• Produce ad hoc reporting and analysis to support the Supply Chain, Purchasing and Buying functions and wider business requirements
• Undertake detailed investigations into areas of poor or inconsistent performance, identifying root causes and practical opportunities for improvement
• Work collaboratively with internal and external stakeholders to implement agreed continuous improvement initiatives and monitor their effectiveness
• Maintain accurate records and archive relevant information relating to continuous improvement activities, investigations and agreed actions
• Identify opportunities to improve the efficiency, accuracy and visibility of the global order fulfilment process
• Build and maintain strong working relationships with Far East factories, suppliers and the Solent Supply Chain, Purchasing, Buying and S&OP teams
• Ensure the UK team has clear, timely and accurate visibility of order status, risks, production progress, shipping timelines and key fulfilment KPIs

About you:

• Previous experience in order fulfilment, supply chain, purchasing, logistics or a similar role, ideally within an international environment
• Experience using an ERP system, ideally SAP, with strong attention to data accuracy and record keeping
• Strong Microsoft Excel and analytical skills, with experience producing reports and analysing business data
• Excellent organisation and time-management skills, with the ability to manage multiple orders, deadlines and priorities
• Strong communication skills, with the confidence to liaise with stakeholders across different teams, cultures and time zones
• A proactive and solutions-focused approach, with the ability to identify issues, manage escalations and follow actions through to resolution
• Comfortable working independently while maintaining strong collaboration with the UK based team
