The Department
The Corporate Affairs (CA) Division strengthens the strategic development and positioning of the Club as a world-class racing club and charity organisation, through engaging key stakeholders in both Hong Kong and the Mainland, and maintaining efficient and effective corporate communications.
The Job
You will :
- Manage and coordinate supervisor’s calendar
- Maintain and update the meeting schedules of various teams, staff and departmental meetings
- Coordinate with external meetings and arrange visitor's visit for meeting at Jockey Club Headquarters
- Handle business entertainment approval process and reimbursement administrative procedures
- Provide logistical support for engagement events
- Organize and coordinate workshops, trainings and cross-departmental / departmental meetings
- Coordinate the overall office administration for the department
- Assist in MA(P&SE)'s budgeting process and housekeep departmental spending on a monthly basis
- Handle ad hoc assignments as required by supervisor
About You
You should have :
At least a Bachelor’s Degree in Business Administration, Secretarial Studies or related disciplinesOver 10 years’ of experience in secretarial or administration duties gained in sizable and multi-national organizations; preferably in the role of Secretary or Personal Assistant to Senior ExecutivesHigh integrity in maintaining strict confidentiality when dealing with sensitive information and mattersExcellent interpersonal and communication skills with an ability to meet and deal with all levels in a professional and courteous mannerDetail-minded, well organized, good team player and the ability to work under pressureGood ability to prioritize, multi-task and work flexibly and independently with high level of accuracyGood proficiency of written and spoken English and Cantonese. Working knowledge of Putonghua is an added advantageExcellent proficiency in MS Office applications and English / Chinese word processing; solid experience in report preparationTerms of Employment
The level of appointment will be commensurate with qualification and experience.
