Position : Administrative Coordinator
Duties and Responsibilities :
- Office Administration Support Manage day-to-day administrative tasks, such as documentation filing and organization;Oversee scheduling and coordination of meetings, setting up virtual calls; Handle basic office communications, ensuring relevant information is shared across departments; Maintain an organized workspae and ensure compliance with company policies.
- Vendor sourcing and procurementIdentify and evaluate vendors for office equipment, supplies, and maintenance services;Request and review quotes from vendors to ensure cost-effectiveness;Negotiate terms and conditions with suppliers to secure favorable contracts;Keep an updated vendor list and build positive working relationships.
- Office maintenance coordination,
- Coordinate with vendors for regular office maintenance, including cleaning, repairs and utilities;Track maintenance schedules and document completed services;Schedule and supervise maintenance activities to ensure minimal disruption to daily operations;Ensure compliance with safety standards for a healthy workplace environment.
- Department coordination and data management
- Facilitate communication and coordination between departments for project updates and workflow;Collect, input, and update office data in management systems or databases;Assist with data analysis, prepare summaries for decision-making;Support cross-functional teams in administrative and logistical tasks as needed.
