Your role

Mission

We are looking for a professional with a friendly attitude and ability to multitask. This role is responsible for ensuring the daily operation at reception front desk, administrative tasks and internal travel booking request.

Responsibilities

  • Provide Front Desk Reception duties for the office by managing internal and external stakeholders professionally and in timely manner, including answer or refer inquiries from visitors and incoming call
  • Serves clients / visitors by greeting, welcoming, beverages and directly them appropriately
  • Manage all aspects of meeting rooms. Coordinate and schedule external client meetings. Ensure is clean, safe and presentable, with all necessary material. Serve beverages to visitors in meeting rooms and reception area
  • Manage business travel (coordinate flight and accommodation booking). Keep records of business travels for internal audit purpose
  • Responsible for postal and courier services (local and international)
  • Maintain complete stock of stationery and pantry supplies. Verify invoices and provide procurement support in terms of sourcing for related vendors, evaluate their quotations and provide recommendation
  • Provide facilities management support on ensuring efficient and effective delivery of logistics and support services to office environment
  • Support with other ad-hoc office administrative duties or events that may be assigned

Your profile

Requirements

  • Minimum 3 years in related working experience
  • Good command of written and verbal communication skills in English and Chinese (Cantonese and Mandarin)
  • Excellent good telephone communication and listening in professional manner
  • Travel booking handling will be an advantage
  • Good communication and strong interpersonal skills with team
  • Ability to be resourceful and proactive when issue arise
  • Multi-tasking and time-management skills, with the ability to prioritize tasks
  • Proficient in Microsoft Office Suite
