The Activities and Athletics Assistant will provide support, assistance to the Activities and Athletics Department, provide on-site support and oversight at various events, and perform administrative duties to ensure the smooth running of the department.
KEY AREAS OF RESPONSIBILITY :
MS Athletics support & site supervision :
- Act as field / gym supervisor for daily practices and games. Ensure that games run smoothly and effectively. Support referees on field / court during games and ensure that league rules are followed,
- Interface with coaches, parents and students. Ensure that all pre / post-game arrangements are carried out and that sufficient resources are available such as equipment, uniform, water, and manpower including scheduling off-site officials.
- Liaise with Athletic Trainer to ensure medical coverage for practice and game calendar.
- Support the MS Athletics Coordinator with team and coach communication pertaining to schedules, transportation and league registration.
- Act as a point of contact for tournaments run within HKIS under the Activities & Athletics umbrella.
Administrative Support :
Provide administrative support to the office as necessary for example :
Use SchoolsBuddy platform to register players for try-out signups, team rosters and uniforms.Organise and confirm all MS Athletics league schedules liaising with league schools to ensure date / time / location.Work effectively with A&A office staff to schedule all in-season sport Tai Tam facility usage for a variety of programs.Work with LCSD (Leisure and Cultural Service Department) and other facility vendors to secure off-site space as required for sponsored programs.Schedule bus orders for teams and publish to coaches.Registration of athletes to local sports leagues (HKSSF, ISSFHK).Tournaments & Events :
approx 6 per year which includes weekend hours)
Support A&A department in hosting APAC eventsSupport A&A department in hosting China Cup and other Invitational eventsDuties include :
Airport greeting / pick up coordinationTeam and event photo coordinationEvent setup details and liaison with F&M staffOpening / Closing ceremony prep (slide show, team & event photos etc)Hotel bus coordinationSite manager on tournament / event datesFacilities and Equipment :
Enter work orders for facility maintenance and repair to ensure safe facilities.Work with A&A office staff to manage overseas purchases.Assist with local orders for equipment and uniforms (place purchase orders communicate with vendors, purchasing and any other follow up).Other :
Undertake other duties and functions as required that will impact and strengthen the contributions of the department and overall operations of the school.MINIMUM REQUIREMENTS AND QUALIFICATIONS :
Education :
Qualifications in sports management field and coaching certificates an advantageExperience :
Relevant experience in sports events or facility management department. Events management experience with a good understanding of Audio Visual and basic computer troubleshooting.Required Skills :
Interest and knowledge of various sports with an understanding of tournament structure and set upProficient Cantonese and English speaker with strong verbal communication skills.Audio Visual equipment setup and troubleshooting (training also provided on job)Computer Proficiency in Microsoft 365 and scheduling and management platformsStrong organisational and time management skills with ability to improvise solutionsFlexibility to meet varying workloads throughout the yearFirst Aid TrainingChild Protection Statement :
