Job Overview :

We are seeking a dedicated and experienced Secretary to provide high-level administrative support to our Chief Executive Officer (CEO). The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks efficiently.

Responsibilities :

  • Act as the primary point of contact for internal and external clients on behalf of the CEO
  • Manage the CEO's calendar and schedule meetings and appointments
  • Coordinate travel arrangements and prepare detailed itineraries for the CEO
  • Draft and distribute correspondence, memos, letters, faxes, and forms
  • Assist in the preparation of regular reports
  • Establish and maintain filing systems
  • Handle confidential information with discretion
  • Assist in the preparation of reports, budgets, and presentations
  • Anticipate the CEO's needs and proactively solve problems
  • Liaise with other team members to ensure efficient communication flow
  • Perform other administrative tasks as assigned

Requirements

Requirements :

  • Proven experience as an Executive Secretary or similar role
  • Proficiency in MS Office suite
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to multitask and prioritize tasks effectively
  • Discretion and confidentiality
  • Bachelor's degree in Business Administration or related field preferred
  • Graduated from a 985 / 211 university is preferred
  • Fluency in both Chinese and English is a must (Proficiency in any other language is a plus)
