The Department
The Hong Kong International Sale (HKIS) is an annual horse auction conducted by the HKJC where high quality horses are made available for the Club’s members to purchase. The Club sources the horses from overseas auction companies, leaving them in the country of origin for up to 2 years before import to Hong Kong where they will be made ready for sale. The International Sale department is responsible for purchasing the horses, overseeing the development and hosting the sale event.
The job holder will be primarily responsible for all manner of administration relating to the upkeep and logistics of the international sale horses and supporting operations related to the International Sale. Reporting to the Assistant International Sale Manager and Executive Manager, International Sale / Owners Advisory Services. This role will support the operations upon superiors’ request.
The Job
You will :
- Provide administrative support to HKIS Office to ensure all databases are maintained to an accurate and high standard. Including but not limited to handling the invoices, issuing debit notes, issuing PR with GRN, filing documents, and providing detailed reports when necessary
- Support Assistant Manager & Executive Manager in International Sale Office with all manner of operations internally (such as cross-department task) and externally (such as event management).
- Liaise with the Club’s appointed previewers, consignors, insurers and auction team. Provide professional service of the hospitality and detailed working arrangements in Hong Kong. Including but not limited to apply Employment Visa Application, book air ticket, arrange hotel accommodation, prepare the work schedule, organize local transport, handle reimbursement, and etc.
- Handle general enquiries of IS Office.
- Organize the visits in Race Meetings for HKIS business related guests.
- Assist the production and distribution of the departmental publications.
- Collaborate with cross functional departments / teams on planning and executing the HKIS event and Breeze Up, and provide on-site assistance to ensure smooth execution.
- Perform other duties and provide cross department support as assigned by supervisor.

Tertiary educationMinimum of 5 years of experience in an administrative positionExperienced in Accounts PayableHigh level of capability in Microsoft office applications, in particular Excel, Word and Power Point is essentialFluent in both written and spoken English and ChineseAbility to engage with wide range of stakeholders, both internal and externalAbility to manage multiple projects and workstreams and meet applicable deadlines and milestonesTerms of Employment
The level of appointment will be commensurate with qualification and experience.
